Industries · San Francisco, CA

Bookkeeping built around
your industry.

A SoMa SaaS company and a Mission restaurant don't keep the same books — and shouldn't share the same playbook. We bring industry-specific workflows, AI-assisted categorization, and senior review to San Francisco small businesses across a dozen industries.

Why industry matters

Every business has its own
version of clean books.

"Bookkeeping" isn't one job. What counts as a clean month for a Financial District law firm looks nothing like a clean month for a Mission restaurant. We set your books up around the way your industry actually earns and spends money.

The chart of accounts is different

An agency needs pass-through media spend separated from revenue. A contractor needs job costing. Get this wrong at setup and every report after it is wrong too.

The numbers that matter are different

Startups watch burn and runway. Restaurants watch food cost and labor percentage. We report on what you'd actually act on, not a generic P&L.

The compliance surface is different

Trust accounting for law firms. Sales tax nexus for e-commerce. Fund restrictions for nonprofits. Each one has its own way of going wrong quietly.

The rhythm is different

Some businesses reconcile daily, some monthly, some at every project close. Your close calendar should fit your operations — not our convenience.

Industries we serve

Twelve industries.
Twelve different playbooks.

Every engagement runs on the same three-tier review — AI first pass, specialist review, senior or CPA sign-off. What changes is what we're looking for.

Technology & SaaS

Subscription businesses from SoMa to the Financial District, where revenue recognition is the whole ballgame and investors read your books before they read your deck.

Common challenges

Deferred revenue schedules, annual vs. monthly billing, Stripe payout reconciliation, R&D costs buried in payroll, MRR that doesn't tie to the P&L.

How we help

Proper deferred revenue treatment, clean Stripe and billing-platform sync, R&D expense tracking mapped for credit claims, and books that survive due diligence.

Startups

Pre-seed through Series B, SoMa and beyond. You're moving fast, and the books need to keep up without becoming a second job for the founder.

Common challenges

SAFEs and convertible notes, equity grants, founder reimbursements, burn and runway that nobody's actually tracking, a diligence request with a two-week deadline.

How we help

Investor-ready monthly reporting, burn and runway in the San Francisco Bookkeeping Portal at all times, cap-table-adjacent entries handled correctly, and a data room that doesn't need an archaeology dig.

Professional Services

Financial District firms and independent practices billing time, retainers, and project fees — where the money comes in on a different schedule than the work goes out.

Common challenges

Retainer revenue recognized too early, unbilled WIP invisible on the balance sheet, partner draws mixed with owner comp, utilization nobody can calculate.

How we help

Retainers held as liabilities until earned, clean partner draw and distribution treatment, WIP tracking built in from day one, and monthly reporting that shows realization, not just cash.

Marketing & Creative Agencies

Studios and agencies across SoMa and the Mission, where half the money that lands in your account was never really yours.

Common challenges

Client media spend inflating revenue, project profitability nobody tracks, a roster of 1099 freelancers, retainers and project work tangled in the same account.

How we help

Pass-through spend separated from real revenue, profitability by client and project, and contractor 1099s tracked all year instead of reconstructed in January.

Real Estate

Investors, agents, and property owners working the Marina to Bernal Heights — where every property is really its own business.

Common challenges

Commission splits, per-property P&Ls collapsed into one, rent roll that doesn't reconcile, capital improvements expensed instead of capitalized, 1031 timelines, trust and escrow funds.

How we help

Class or location tracking so each property reports on its own, rent roll and escrow reconciled, correct capitalization, depreciation, and cost segregation, and clean records when a 1031 clock starts running.

Restaurants & Hospitality

From Mission dining rooms to North Beach coffee bars and Hayes Valley bakeries — high volume, thin margins, and a POS that doesn't talk to your books on its own.

Common challenges

Daily sales reconciliation across POS and deposits, tip pooling and reporting, food and ingredient cost drift, delivery platform fees, catering and wholesale accounts, second and third locations.

How we help

Daily sales tied out to deposits, tips handled correctly through payroll, food and labor cost reported as percentages you can act on, and per-location P&Ls.

Retail & E-commerce

Storefronts on Hayes Valley and Valencia Street, online sellers, and the many San Francisco businesses that are quietly both — selling to customers in states you've never visited.

Common challenges

Shopify, Amazon, Etsy, and Stripe payouts that arrive net of fees, POS reconciliation, inventory and COGS, marketplace facilitator rules, sales tax nexus crossed without noticing.

How we help

Platform payouts reconciled gross with fees broken out, inventory and margin tracked properly, and nexus monitored monthly so registrations happen before penalties do.

Construction & Contractors

General contractors, specialty trades, and remodelers working the city from Bayview to the Sunset — where profit lives at the job level, not the month level.

Common challenges

Job costing that never happens, materials and labor lumped together, retainage, progress billing, WIP, and a stack of 1099 subcontractors.

How we help

Job costing built into the chart of accounts, materials separated from labor, retainage and WIP tracked correctly, and subcontractor 1099s filed on time.

Healthcare & Wellness

Dental, medical, and specialty practices, plus salons, gyms, and med spas across San Francisco — where what you bill and what you collect are two different numbers.

Common challenges

Insurance reimbursements arriving weeks late and short, patient AR, commission splits and booth rental income, associate and provider payroll splits, equipment financing and depreciation.

How we help

Deposits reconciled against remittances so write-offs are visible, provider compensation and commissions split cleanly, and equipment capitalized and depreciated correctly.

Law Firms

Solo practitioners and small firms across the Financial District and beyond — where one bookkeeping mistake is also a bar problem.

Common challenges

IOLTA and client trust accounts, three-way reconciliation, retainers recognized before they're earned, costs advanced on behalf of clients, partner distributions.

How we help

Trust accounts reconciled and kept strictly separate from operating funds, retainers held until earned, and advanced client costs tracked as receivables — not expenses.

Franchise Owners

Multi-unit operators running two, five, or ten locations across the Bay Area — answering to a franchisor's reporting calendar as well as your own.

Common challenges

Multi-unit consolidation, royalty and marketing-fund tracking, franchisor reporting requirements, and location-level profitability that gets lost in a single P&L.

How we help

Each location reporting on its own with a consolidated view on top, royalties tracked and reconciled, franchisor reports produced on their schedule — all from a single dashboard in the San Francisco Bookkeeping Portal.

Non-Profit Organizations

Bay Area nonprofits and foundations answering to boards, grantors, and donors — all of whom want to see the same money accounted for differently.

Common challenges

Fund accounting, restricted vs. unrestricted donations, grant reporting on the funder's calendar, in-kind contributions, program vs. admin allocation, Form 990.

How we help

Restrictions tracked from the day the money lands, grant-ready reporting per funder, functional expense allocation maintained monthly, and a 990-ready package that keeps your 501(c)(3) audit-ready year-round.

Why businesses choose us

Industry expertise,
without the industry price tag.

The specialist knowledge of a firm that only serves your vertical — at the price AI-assisted bookkeeping makes possible.

AI-assisted bookkeeping

AI handles the first pass — categorization, document matching, anomaly detection — so your team spends their hours on judgment calls, not data entry.

Human-reviewed accuracy

Three layers on every engagement: AI first pass, staff specialist review, senior or CPA sign-off. Nothing is finalized on the machine's say-so.

Monthly reporting that means something

P&L, balance sheet, and cash flow every month — plus the two or three metrics your industry actually runs on.

Payroll support

W-2, 1099, multi-state, tips, commission splits, provider draws. Payroll posts cleanly to your books with no double-entry.

Tax-ready financials

Books kept in a state where tax season is a formality. Year-end package ready for your CPA, or handled in-house by ours.

Dedicated specialists

A named bookkeeper who knows your business, a reviewer who signs off on your close, and tax specialists when you need them. Same people, every month.

Scalable as you grow

One location or six. One entity or a holding structure. Adding payroll, sales tax, or tax planning doesn't mean starting over with a new firm.

FAQ

Industry questions, answered.

What business owners ask before handing over their books.

Do you actually specialize in my industry, or do you just say that?
Fair question. What "specialization" means here is concrete: your chart of accounts is built for how your industry earns money, your bookkeeper has worked the same edge cases before, and your monthly reporting includes the metrics your industry runs on. We won't claim to be the only firm in San Francisco that has ever seen a restaurant P&L — we'll show you the setup on the demo and you can judge.
My business doesn't fit neatly into one of these categories. Can you still help?
Almost certainly. Most businesses are a blend — a restaurant with a catering arm, a retail shop with an online store, a contractor who also flips properties. The list above is where our patterns are deepest, not a gate. Bring us the shape of your business on a 30-minute call and we'll tell you honestly whether we're the right fit.
Do you charge more for specialized industries?
No. Pricing is based on transaction volume, cleanup needs, payroll complexity, and service mix — not on which industry you're in. A restaurant with three locations will cost more than a solo consultant, but that's because of the work involved, not the label. We quote a clear monthly number before any work begins.
Do I need different bookkeeping software for my industry?
Usually not. We work inside QuickBooks Online, Xero, FreshBooks, and Wave, and the industry difference lives in how they're configured — classes, locations, items, tracking categories — not in which logo is on the login screen. If your industry runs on a specialist tool — Toast, Square, Shopify, Clio, Buildertrend, Mindbody, Dentrix — we'll integrate it with your books rather than push you onto a platform your CPA and lender don't recognize.
Can you handle multi-location or multi-entity businesses?
Yes. Multiple locations, multiple entities, holding structures, and consolidated reporting are normal work for us — a three-location restaurant group and a real estate owner with six properties are the same problem wearing different clothes. Each unit reports on its own, and you get a consolidated view on top that stays clean for your CPA and lender.
My books are a mess and my industry is complicated. Where do we even start?
With an audit, not with data entry. We look at what you have, what's missing, and what's creating the most risk — then rebuild from the foundation with the right industry structure in place. See our catch-up service →
How long does industry-specific onboarding take?
Most clients are live within 14 days. Week one is connecting to your platform and reviewing your existing setup — including whether the chart of accounts fits your industry or needs rework. You'll usually have your first clean close within 30 days. If there's cleanup to do first, we'll quote that separately before we start.
Do you only work with businesses inside San Francisco?
We're built around San Francisco, but we work with businesses across the Bay Area — South San Francisco, Daly City, San Mateo, Oakland, and Berkeley included. The San Francisco Bookkeeping Portal means proximity isn't the constraint it used to be; what matters is that your team knows your business and your industry.

Let's talk about your industry.
